In this introduction to Automation Academy by WorkFusion, we answer frequently asked questions about our approach to education, this training platform, the enablement ecosystem, and troubleshooting your Academy experience. Section 1. What is Intelligent Automation?

What’s different about Intelligent Automation?

In the context of desktop automation, WorkFusion creates digital software solutions that can handle routine knowledge work. In the broad RPA (robotic process automation) sector, some software can only handle limited, rules-based processes. Handling more advanced, decision-centric tasks requires AI-powered “digital workers” that can be trained and then continue to learn over time. WorkFusion’s specialized Digital Workforce arrives with skills and experience, able to start contributing value from day one, and each of our machine-learning-enabled Digital Workers operate through our Intelligent Automation Cloud.

How will deploying Intelligent Automation affect my company and my job?

Section 2. What is Automation Academy?

What kind of service is Automation Academy?

Automation Academy is WorkFusion’s online learning platform, where our guest students, customers and partners learn to automate. Our courses offer knowledge and skills for any role or position in your organization. Real-time communication with trainers helps you troubleshoot any issues. We strive to deliver practical, in-depth, and self-paced learning.

How do I access courses?

Most of our courses are available only to WorkFusion customers and partners. However, we do offer some courses to public users with corporate email addresses.

What roles do you enable?

We provide a structured training program in both self-directed and instructor-led formats. Sixteen multi-level roles enable any function in your organization: Automation Engineer, Data Analyst, Business Analyst, IT Admin, Operations Manager and/or Specialist, and more. Automation Academy focuses on helping you implement automation, specifically how to use the Intelligent Automation Cloud to build Digital Workers.

How is the curriculum structured?

We categorize all courses into bundles for a specific role, for both business and technical users, to help them progress through their automation journey. Roles are listed on the left-hand sidebar in Automation Academy.

Section 3. Where do I start?

WorkFusion partners, customers as well as business users (general and non-technical): are welcome to start with our Get to Know Intelligent Automation Cloud and Work with Intelligent Automation Cloud courses which cover all core capabilities of our platform and is highly recommended for business users. We also suggest you explore the Automation Academy curriculum on our home page to easily find courses that match business goals.

For technical users we recommend starting with the Citizen AI developer role courses, then move on to courses that require Java knowledge (ex., those within the Automation Engineer and Machine Learning Engineer roles. How can I learn about platform support?

Begin with the courses within Support Engineer role. We also recommend you explore the Automation Academy curriculum on our home page to easily find courses that match your goals.

Section 4. How does Automation Academy training work?

We aim to provide best-in-class educational service and tools. Our trainers have created learning materials to be both accessible and comprehensive. As a result, enterprises trust us to train their C-level executives and employees. We are proud to report Automation Academy onboards between 2,000 and 3,000 new students every year.

Will I have hands-on experience with the product?

Absolutely. Automation Academy provides not only informational materials, but actual experience using our platform. In fact, most assignments must be completed by using our platform.

What kind of learning materials does Automation Academy use?

Course content includes videos, documentation, and other types of training materials — all available to students upon registration.

Managers also receive comprehensive reports that help monitor the training activity of the team or the entire company’s participation. Read more in Section 5.

Grading of quizzes and assignments

In Automation Academy, practice always takes priority over theory. Many courses require you to take a quiz (with a limited number of attempts), which are graded automatically. Other courses require you to complete a practical assignment. Some assignments are offered to solidify your learning and are not graded. Other assignments (ex., a certification assignment) must be submitted to our trainers to assess, grade, and possibly provide comments.

Trainers usually complete grading within 48 hours (or two business days), and students can expect their certificates of completion soon after.

How to enroll: Courses within majority of roles are availiable to our customers and partners upon registration. Though please kindly note that access to the Build step courses is provided upon Jira onboarding request.

How do I receive a report on course completion?

We create General Report with complete raw data and analytics about student progress in your organization. You must be registered as a manager in the Academy system to access a General Report (on the left sidebar). For help, please refer to our Service Desk to gain access and generate reports.

Applications

Intelligent Automation Cloud Developer

This is a part of WorkFusion Intelligent Automation Cloud Enterprise and provides a unique automation environment to evaluate, learn, design, create, and support automation projects. This limited aspect of Intelligent Automation Cloud, created for developers and students, includes the Studio/Recorder application. Download this version directly from the product documentation (Intelligent Automation Cloud Download the Developer Edition of our software to use in courses) and install it locally on your computer. Please note that the latest version of Intelligent Automation Cloud Developer includes a pre-installed OCR (Optical Character Recognition) license.

Intelligent Automation Cloud Developer is used for making assignments within technical сourses belonging to roles like Automation or ML Engineer, Data Analyst and others.  Access to these courses is granted upon Jira request provided by the manager within your organisation.

Services

Automation Academy is our learning management system, which we use as an enablement tool.

Automation Academy Service Desk is our Jira-powered help center where our support team takes requests for onboarding, account merge/creation, quiz/assignment issues, documentation portal access, etc. We handle all enablement-related queries except those regarding the product. For example, if you cannot install Intelligent Automation Cloud Developer or face a post-installation issue, please consult the Product Support Portal

Product Support Portal (Product Service Desk) is a Jira-powered help center where the support team handles issues related to the product itself.

Documentation (doc.workfusion.com) is an online portal where you can find answers to all your questions related to the WorkFusion platform: latest release notes, automation in general, and much more.

How to make requests?

OCR (Optical Character Recognition) license

The latest version of the product already contains a pre-installed OCR license with enough pages to complete Academy courses. Simply select and install the latest version. In case you have any issues with OCR, please contact Product Support.

Onboarding to advanced courses / roles

The onboarding request requires approval of your manager or a team lead within your organization. You can send a request on your own over email and CC your manager, or ask your manager to make a request in 3 simple steps:

  • Visit our Service Desk
  • Choose the option “Onboarding to Automation Academy”
  • Fill in the Excel onboarding template and wait for a welcome email from us

Section 7. FAQ

Here we’ve assembled and answered the most common questions we receive from students. Please read carefully before using the Service Desk.

What if I forgot my password for the training instance (Control Tower)?

First, please check the onboarding email from Automation Academy and try the credentials specified there. If you’ve changed them after your first login, please refer to the Service Desk.

What if I opened Control Tower and cannot see my previously created business processes?

When you log into Control Tower, the Business Processes (BP) tab should display all BPs you’ve created. If you see 0 processes or a 404 error when you try to create a new process, please refer to the Service Desk and we’ll help fix the issue.

What if I don’t see my certificate after completing a course?

Certificates are stored in a separate platform called Accredible, and may take 5–15 minutes to generate. Your credentials will appear within this time period on your Academy profile and in the end of the course after the “Feedback” section. You will also receive your certificate via email. If more than an hour has lapsed without receiving your certificate, please refer to the Service Desk and our team can help you.

What if I forgot my password to Automation Academy?

Click here to reset your password. Please note that password reset email sometimes goes to the spam folder.

What if I am unable to reset my password to Automation Academy?

If you try to reset your LDAP password and see the error message “The account does not exist or has been removed,” then your account may have been suspended. Please refer to the Academy Service Desk to report the issue.

Can I keep my account/transfer my progress if I switch to a new employer?

Yes, this procedure is called «account merge, ” where all your certificates, courses accesses, and progress will be transferred to your new account. Please refer to the Academy Service Desk and submit a ticket.

What if I can’t install Intelligent Automation Cloud Developer Edition?

In case you have any issues related to our product operation or installation, please contact Product Support here.

What if I ran out of quiz/assignment attempts?

Please refer to the Academy Service Desk and create a ticket with a link to the exact quiz or assignment you need to try again. Please note that the number of extra attempts is limited to 2.

What if a video is not loading in a course?

First, try using the incognito mode on your browser. Also, note that our videos are hosted on Vimeo, so make sure this domain is whitelisted in your organization. Usually, such issues can be handled by your company’s IT department.

What if the pop-up SCORM does not appear?

When you click on the SCORM*, a pop-up window launches with the current module. If it does not launch, use Incognito mode or another browser, as your current browser might be blocking pop-ups. Please note: If a pop-up does not appear, this may be due to your browser’s security settings. Select your browser to read instructions on how to resolve the issue: Chrome, Safari, FireFox, Edge.

What if I can’t access documentation at doc.workfusion.com?

You can access the documentation portal with your same credentials that you use with Automation Academy.

How can customers or partners access courses?

All customers and partners can access the majority* of our courses, immediately upon registration.

Simply use your email address (all lowercase) as a username and click here to reset your password.

*Exceptions: courses for Automation Engineer, Machine Learning Engineer, Data Analyst, and Delivery Manager as they require access to training instances of Intelligent Automation Cloud. To access these, ask your account manager or team lead to create an onboarding ticket here.

Can I access courses if I am not a customer or partner?

We appreciate and support all learners, regardless of whether they are a customer or partner. That’s why we offer the complimentary Automation Lead role (which includes eight courses) upon registration. These courses are highly practical and offer an extensive overview of automation with Intelligent Automation Cloud as well as overview of our Digital Workers.
